Notice on the Change of Application and Approval Procedure for Students of Tongji University going abroad
Colleges and all students:
In order to better serve the students in school, truly realize the service concept of "running at most once" and improve work efficiency, and further promote paperless office, further simplify the application and approval process for students going abroad, the application and approval process for students going abroad will be changed to online application from January 1, 2019. Please, online approval, in order to achieve the accuracy, convenience and efficiency of overseas application and approval services. The relevant matters are hereby notified as follows:
1. All students (including undergraduates, postgraduates and preparatory students) who apply for overseas exchanges after January 1, 2019 will be completed in the new student system of Tongji University (myportal.tongji.edu.cn). Please login to the new Student System and search for the "Student Going Abroad (Border)" module to apply. It is recommended to use Google, 360 Speed, IE11 browser for operation.
2. According to the regulations of the school, students can only arrange for winter and summer holidays when they go abroad for personal reasons, but they are not allowed to go abroad for the rest of the time.
3. Applications can be divided into three categories: overseas/overseas applications (including group applications), applications for joining established groups and applications for extension and change. Group application is created by the head of the group in the category of overseas/frontier application (including group application), which automatically generates the group number and adds members. Students who apply to join the group can join the group according to the group number after they join the group. Individual travel applications (including group applications) are operated according to the individual application process. Special categories, such as extension, alteration, going abroad to another country, need to apply in the category of "extension and alteration".
4. Particular attention should be paid to the accurate schedule and source of funds in the application information, otherwise it will directly affect the application and even be returned. The itinerary should specify the departure time, arrival time and entry time. The itinerary shall be completed on a daily basis within 14 days; if the itinerary is over 14 days and within three months, the itinerary shall be completed on a weekly basis, except for the time of going abroad, arriving at the destination and entering the country on a daily basis; if the itinerary exceeds three months, the time of leaving the country, arriving at the destination and entering the country shall be completed on a weekly basis, except the time of leaving the country, arriving at the destination and entering the country. The rest should be filled in according to the monthly plan.
5. All the approval processes are carried out on the internet. After the process approval is completed, all the processes in the school will be completed. The system will automatically generate the task approval for going abroad.
6. In case of visa or reimbursement requirements, students will print out the task approval and the itinerary generated by the system on their own and stamp the 703B Foreign Affairs Office of Hehe Building (which will realize the function of self-service printing in the future, i.e. the documents containing electronic stamps). Then they will send the stamped documents to the Foreign Affairs Office A07 of the Integrated Services Hall for visa delivery.
